   Refund and Cancellation Policy

                               

​​How to Cancel: If you need to cancel your booking, you must notify us in writing (e.g., via email). The date we receive your written cancellation request will determine the refund amount according to the schedule below.

Cancellation Deadlines and Refunds

  • 60 days or more before departure: You are eligible for a full refund of all payments made provided that no non-refundable services have been booked on your behalf. We will deduct any unrecoverable supplier costs (if any) from your refund. If none of your trip components carry supplier penalties at this stage, you will receive a 100% refund of the package price. (Any booking deposit or planning fee that was explicitly noted as non-refundable at the time of booking will be withheld.)

  • 45 to 59 days before departure: You are eligible for a partial refund. In most cases, we will retain a cancellation fee equal to 20% of the total package price (or a fixed administrative fee, as specified at booking) to cover our costs. Any non-refundable supplier payments already made (for example, certain flight or hotel deposits) will also be deducted. The remainder (typically around 80% of the package price, after such deductions) will be refunded to you.

  • 30 to 44 days before departure: You are eligible for a partial refund of the package. We will retain up to 50% of the total package price as a cancellation fee at this stage. Additionally, we will deduct any amounts already paid to suppliers that cannot be recovered. Approximately up to 50% of the package price (after those deductions) will be returned to you as a refund.

  • 15 to 29 days before departure: Refunds during this period are very limited. We reserve the right to retain up to 75% of the package price as cancellation charges. We will only refund the portion of your payment that remains recoverable from suppliers (generally no more than 25% of the package price, if any). Many bookings at this stage are fully non-refundable, so any refund you receive will be small or possibly zero.

  • 14 days or less before departure: No refund will be provided for cancellations made in the final 14 days before departure, as 100% of the package cost is typically committed to suppliers at that point and thus non-refundable. If any specific component of your trip (such as a particular tour, transfer, or ticket) is still refundable per the supplier’s terms, we will pass that amount back to you if and when we receive it; however, please be aware that last-minute cancellations usually result in forfeiture of the entire tour price.

Note: Failure to show up for your trip (a “no-show”) or cancelling on the scheduled departure day is treated as a last-minute cancellation and is not eligible for any refund. Likewise, no refunds will be given for any unused portion of the package once travel has commenced.

Third-Party Supplier Conditions and Exceptions

Certain travel components are provided by third-party suppliers (airlines, cruise lines, hotels, tour operators, ticket agencies, etc.) and are subject to their own cancellation terms:

  • Non-Refundable Components: Some parts of your trip may be entirely non-refundable once booked, regardless of advance notice. For example, many airline tickets, attraction/event tickets, or special promotional hotel rates carry 100% cancellation penalties from the moment of purchase. If your package includes any such non-refundable items, we will inform you at or before booking. In the event of cancellation, the cost of these items cannot be refunded to you under any circumstances.

  • Supplier Penalties: When processing your cancellation, we must abide by each supplier’s policies. If a supplier (airline, hotel, etc.) imposes a specific cancellation penalty or cutoff date, that will be factored into your refund. For instance, if a particular hotel allows free cancellation up to 14 days before check-in, we will attempt to recover that hotel portion for you if you cancel at least 14 days in advance. Conversely, if an airline ticket is non-refundable or carries a set cancellation fee (e.g. a $300 airline penalty per ticket), those amounts will be deducted from your refund or may make that portion of the package non-refundable even if you cancel early.

  • Maximum Recovery Effort: We will make every effort to recover and refund any portion of your payment that is eligible for reimbursement from suppliers. If we are able to recoup more than the minimum stated above (for example, obtaining some refund during a normally non-refundable period), we will pass those savings on to you. However, we cannot guarantee any exceptions or special consideration beyond this policy, especially when third-party terms are strict. (Any waiver of our own cancellation fees in extraordinary cases is at our sole discretion and typically only considered if you rebook an alternative trip with us.)

  • Travel Insurance: Because unexpected events (illness, emergencies, weather, etc.) can derail travel plans, we strongly recommend purchasing travel cancellation insurance. Such insurance is not included in your package by us, but it can protect your trip investment by reimbursing you for non-refundable costs if you have to cancel for a covered reason. Please note that we cannot waive our cancellation fees or obtain exceptions from suppliers in cases of unforeseen circumstances, so having travel insurance is the best way to safeguard yourself against loss.

Changes and Transfer of Bookings

If you wish to avoid canceling outright, you may request a change in traveler or transfer of your booking to another person. We will assist with such requests to the extent allowed by our suppliers:

  • Name Changes/Substitutions: In some cases, changing the lead traveler’s name on a booking or transferring your reservation to a replacement traveler is possible if the suppliers involved allow it. Certain services (such as private ground transfers or museum entrance tickets) are generally flexible and permit name changes up to a few days before use. In contrast, airline tickets and many hotel reservations do NOT allow name changes – airlines typically treat a name change as a cancellation (requiring the purchase of a new ticket), and hotels may require an entirely new booking if the guest name changes. We will adhere to each supplier’s policy regarding name changes.

  • Procedure and Fees: You must notify us in writing if you want to request a name change or transfer of your booking. We will then confirm if the change is possible and inform you of any fees or requirements. If the change is permitted, the supplier may charge a name-change fee or require payment of any fare difference (for example, airlines often charge a fee plus any difference in ticket price). You would be responsible for any such charges. We may also charge a minor administrative fee for processing a transfer or name correction, and we will advise you of any such cost in advance.

  • Timing of Changes: All requests for name changes or transfers should be made as early as possible. Changes requested at the last minute may not be feasible if tickets or vouchers have already been issued in the original name or if the supplier’s deadline for modifications has passed. We cannot guarantee any changes within the final few weeks before departure.

  • Unused Tickets/Services: If a name change or transfer is not possible for a particular component of your trip and you choose not to use that service, it will be treated as a cancellation of that component, subject to the cancellation terms above (often resulting in no refund). We regret that we cannot “hold” or credit unused tickets or services for future use under a different name unless the supplier explicitly allows it.

Final Provisions

By booking with us, you acknowledge that you have read and agreed to this Refund and Cancellation Policy. This policy is designed to be fair to our customers while covering the advance costs we incur on your behalf. All eligible refunds will be processed back to the original form of payment. Please allow up to 14 business days from the time of cancellation confirmation for any refund to be issued. Any bank charges, credit card fees, or exchange rate differences incurred during the transaction are the responsibility of the customer and will not be reimbursed by us.
